The Ultimate Weekend Trip Packing Checklist for Group Travel (Free PDF)

Introduction

Three people brought Bluetooth speakers. Nobody brought a bottle opener. The portable charger is at home on someone's desk, and there are six phones that need charging by 9pm on the first night.

This is not a hypothetical. This is every group trip without a coordinated packing list.

Individual packing for a group trip is mostly fine — everyone knows to bring their clothes and toiletries. The problem is the shared items: the things that one person brings on behalf of the group, that everyone benefits from, and that fall through the cracks of "I assumed someone else was handling it."

This checklist is built around that problem. It covers the shared items that matter most, organizes them by category, and gives you a system for assigning them before anyone starts packing.

Copy this checklist into a shared document or print this page. Plan With Pals does not provide an interactive packing checklist or one-tap item claims.

How to Use This Checklist

Step 1: Share this list in your chat or a shared document at least one week before departure.

Step 2: Have each person claim the shared items they'll bring. One item, one owner — no "I thought you were bringing it."

Step 3: The unclaimed items after 48 hours are the gaps. Someone needs to volunteer for those or buy them at the destination.

Step 4: Review the list the night before departure, not the morning of.

THE CHECKLIST

Tech & Power

Shared Items (assign one owner each):

  • Portable power bank / external battery (high-capacity — at least 20,000mAh for a group)
  • Multi-port USB wall charger or charging hub
  • Extension cord or power strip (vital for rentals with insufficient outlets)
  • Bluetooth speaker
  • Portable projector (optional — great for beach/cabin movie nights)
  • Drone (optional — if someone has one and the destination allows it)

Everyone brings their own:

  • Phone charger and cable
  • Headphones
  • Camera / GoPro (if using)

Pro tip: Designate one central charging station in the rental — usually the kitchen counter. Phones go there overnight, not scattered across six different rooms with six different chargers.

Kitchen & Food

Shared Items:

  • Cooler (with ice or ice packs — buy ice locally)
  • Bottle/wine opener (it's always the thing nobody brings)
  • Reusable grocery bags
  • Large serving spoons / tongs (rentals often lack these)
  • Coffee supplies: good coffee, a pour-over or travel coffee maker if the rental's machine is bad
  • Dish soap and sponge (many rentals run out fast)
  • Paper towels (bring a roll — rentals provide one, groups use ten)
  • Trash bags (extra ones; rentals never have enough)
  • Aluminum foil / plastic wrap / sandwich bags
  • Cutting board (rentals often have tiny ones)

Grocery run: Decide before arrival who is stopping for groceries. Send one person with a shared list, collect money outside Plan With Pals and manually record payments received. Do not make the grocery run a group activity unless you enjoy adding 45 minutes and three disagreements about which chips to buy.

Outdoor & Beach / Pool

Shared Items:

  • Sunscreen (at least SPF 50 — buy a large bottle for the group)
  • Bug spray (destination-dependent)
  • Beach towels (check if your rental provides these; many don't)
  • Beach umbrella or pop-up shade tent
  • Portable folding chairs
  • Waterproof dry bags for phones at the beach / on the river
  • Frisbee, spikeball, bocce, or other group outdoor game
  • Reusable water bottles (or a large shared water jug)
  • First aid kit (see below)

Everyone brings:

  • Swimsuit
  • Sunglasses
  • Hat or cap
  • Flip flops / sandals

First Aid & Health

This is the one everyone forgets until they need it.

Shared First Aid Kit:

  • Adhesive bandages (assorted sizes)
  • Antibiotic ointment (Neosporin)
  • Pain reliever (ibuprofen + acetaminophen — different people have different preferences)
  • Antacids (Tums or Pepto)
  • Antihistamine (Benadryl or Zyrtec — for surprise allergic reactions or bug bites)
  • Blister treatment patches
  • Aloe vera gel (for sunburn)
  • Motion sickness medicine (if road trip / boat activity)
  • Medical tape / moleskin
  • Tweezers

Everyone brings their own:

  • Any prescription medications
  • Personal items based on personal health needs

Entertainment & Games

For the downtime that's actually the best part of the trip.

Shared Items:

  • Card games (a standard deck of cards handles more games than anything else)
  • One board game everyone knows (Codenames, Settlers of Catan, Ticket to Ride, etc.)
  • Card game expansion (e.g., What Do You Meme, Cards Against Humanity, Exploding Kittens)
  • A puzzle (underrated for rainy mornings)

Optional upgrades:

  • Karaoke app and microphone (for the group that's into this)
  • Outdoor movie projector + sheet (for cabin or backyard nights)
  • Waterproof playing cards (if near a pool)

Transportation & Logistics

If driving:

  • Phone mount for the car (driver's sanity)
  • Aux cable or Bluetooth connection sorted in advance
  • Snacks for the drive — this is a shared responsibility, not just the driver's job
  • Reusable cups / travel mugs (for coffee on the road)
  • Small trash bag for the car

Shared documents (digital, not printed — unless you want to print):

  • Airbnb / hotel address and check-in instructions shared with everyone
  • Group emergency contact list
  • Nearby urgent care or pharmacy noted (one quick Google before you leave)

House / Rental Etiquette Supplies

Leave-no-trace for your rental. Many Airbnb reviews are damaged by groups who were unprepared.

  • Extra cleaning supplies if the rental feels under-stocked
  • Laundry supplies (if staying more than 2 nights)
  • A quick inventory photo of the property on arrival (document any pre-existing damage before it becomes your deposit)

The Personal Packing List (Quick Reference)

This is standard — everyone's got their own system — but for completeness:

Clothing:

  • Enough outfits for each day + one backup
  • Layers / a light jacket (even warm destinations get cool at night)
  • Comfortable walking shoes
  • One nicer outfit if there's a dinner or event

Toiletries:

  • All personal hygiene items
  • Medications
  • Contacts / glasses

Documents / Essentials:

  • ID or passport
  • Credit/debit card
  • Cash (some local businesses at destinations are cash-only)
  • Insurance card

The One Rule That Saves Every Group Trip

Assign shared items before anyone packs. Not the night before. Not the morning of.

The way to use this list: share it with your group, have everyone write their name next to the items they're claiming, and check for gaps. Anything unclaimed a week before the trip gets flagged and assigned.

Use a shared document to assign and check off packing items. You can add the agreed arrangements to your Plan With Pals event details for reference, but the app has no checklist import or item-claiming feature.

The PDF is formatted for a single page (front and back), with checkboxes for each item and a blank "Assigned To" column to fill in by hand.

Print one copy per trip. Check items off as they're confirmed. Bring it to the car and use it as a pre-departure review.

The Things People Always Forget

A final list, based on collective experience:

  1. Bottle/wine opener. Always. Every time.
  2. Power strip. Old vacation rentals never have enough outlets.
  3. Sunscreen. Everyone assumes someone else is bringing the group bottle.
  4. Aloe vera. Someone will get sunburned.
  5. A light rain layer. Especially for outdoor destinations.
  6. Cash. Small local spots, tips, markets.
  7. Antacids. Groups eat adventurously. Someone will need them.
  8. Extension cord. For the one outlet that's in the wrong place.

Pack these. Thank yourself later.

Plan With Pals offers private groups, shared event itineraries, idea upvotes, RSVPs and manual payment records. Everyone needs a free account to join and contribute. Packing checklists, date polls, collaborative maps and automatic expense splitting are not included.
